Three agreements to have in place

  • One confirmed transfer per arriving party: check whether the property has already booked transport.
  • An exact address, a usable entrance and arrival arrangements matching your expected time.
  • Separate confirmation for the return and any journeys during your stay; the arrival transfer does not reserve them.

Dividing the confirmations helps prevent misunderstandings. It does not guarantee early access to the property or a service already included in your stay.

First, check whether somebody has already booked the car

The Grand-Hôtel du Cap-Ferrat concierge offers transport arrangements, and Le Collectionist also describes arranging transfers to its villas. These examples establish neither that transport is included in your booking nor a partnership with Azur Private Driver.

Ask whether a vehicle has been reserved, for which guests, at what time and with which provider. If you prefer to book directly, coordinate the change before confirming a second car. Comparing two quotes is different from accepting two bookings for the same arrival.

Give a road address, not only a villa name

Prepare the full address and ask which entrance arriving guests should use. A residence, estate or hotel may need a more precise landmark than its name. Ask the property contact whether the planned drop-off suits the vehicle and travellers, especially where the final stretch may be on foot.

For a villa, agree who can receive you and what to do if that person has not arrived. Airbnb, for example, recommends reviewing access instructions and coordinating arrival with the host. Follow your own accommodation’s arrangements rather than assuming someone is available at all hours.

Your flight time and property access are separate arrangements

An early flight does not automatically make a room or villa available earlier. Confirm the access time and ask the property what is possible beforehand: a welcome, luggage storage or another arrangement. None of these should be inferred from the transfer price.

If you want lunch, a stop or sightseeing before reaching the property, put it in the enquiry. A detour and waiting can change both the service format and fare. Do not assume a car remains at your disposal for hours after a one-way transfer without an explicit agreement.

Understand hourly chauffeur hire

Several flights: organise the plan by journey

For a shared stay, group the information by car journey rather than simply by villa. List each arrival’s flight, date, travellers, destination and reachable contact. When two parties land at different times, compare separate transfers with agreed waiting before deciding which arrangement suits you.

Decide who can approve a change if a flight is delayed. Should the party already there wait or travel to the property separately? Does the manager need to move the key handover? Agreeing that approach beforehand is more useful than a timetable that assumes every flight is on time. Several vehicles being available simultaneously still needs confirmation.

  • A flight and time for each arriving party.
  • Travellers and destination for each journey.
  • Party contacts and the stay’s coordinator.
  • An agreed approach if arrival times move apart.

Share useful details without spreading private access codes

For a quote, describe the route, times, party and luggage. Gate, key-safe and alarm codes do not belong in a public enquiry, URL or widely circulated document. Agree a private channel with the property for any access details that are genuinely needed.

Identify each contact’s role: traveller, organiser, reception or property manager. Check their agreement before sharing contact information. The person receiving you and the person paying for transport may differ; clarify who accepts the quote without assuming the hotel or agency will be invoiced.

Planning business or coordinated travel

Book trips during the stay and the departure separately

A Nice Airport arrival booking does not reserve an evening outing or the journey home. If you already know appointments, restaurant plans or return flights, add them as separate requests. Say whether guests leave together, from another address or on different flights.

For departure, align checkout, luggage readiness and your desired airport-arrival time with your airline’s requirements. If you are changing hotels, supply both addresses and their arrival constraints. Distance alone does not describe the whole arrangement.

Get one clear itinerary confirmed before you travel

Bring the current plan into one clear summary and ask which items are actually confirmed. Flag an entrance, flight or key-handover time that remains provisional. The quote should match the intended journey; a material change needs agreement rather than being buried in a separate conversation.

Ask about waiting, extra stops, changes and cancellation before accepting. The final fare is confirmed for the agreed details. Use this summary to check the arrangement, not as evidence that an enquiry you sent has already become an accepted booking.

  • Flight, date and pickup meeting.
  • Full address, entrance and arrival contact.
  • Travellers, luggage and requested equipment for confirmation.
  • Waiting or stops, return and additional journeys.
  • Vehicle, fare and conditions confirmed by the provider.
  • Who to notify and whose agreement is needed for a change.

Practical questions

Should I book through the hotel or directly with a chauffeur?

Compare the service and conditions, then use one clear confirmation channel. First check whether the property has already arranged transport so you do not confirm two bookings for the same arrival.

Does a city transfer price cover any villa in the surrounding area?

Do not assume so. Supply the exact address, entrance and requested stops for a relevant quote. A broad destination name does not replace the actual journey details.

What if my flight arrives before I can collect the keys?

Ask the accommodation about an early welcome or luggage arrangements. If you want waiting time or an intermediate destination, have that programme priced and confirmed before the journey.

Does my transfer include a driver throughout the holiday?

No. A one-way transfer does not reserve ongoing availability. Outings, return journeys and periods of hourly hire must be requested and confirmed separately.

Do I need to provide villa access codes to receive a quote?

No. A quote requires journey and road-access details, not private property codes. Arrange any sensitive access information only with the relevant people through an agreed channel.
